VW Accident Damage Management Conference

The ADM conference “Accident Damage Management” took place virtually in 2020. We organized it in our studio, for the first time using augmented reality technology, or XR (Extended Reality). The conference was attended by 400 participants and the presentations were delivered by 6 speakers using a dedicated online platform that enabled the entire event to be conducted online.

The conference was devoted to claims handling in electric vehicles manufactured in VW group. Its participants were insurance appraisers and employees of claims settlement centers. Our task was mainly to stream the conference from the studio, where we built two green boxes. In one of them we placed the VW ID3 car, in the other there was a stage built of LED screen and LED floor, on which the speakers performed. We created the virtual stage using the 3D UNREAL4 engine that is used in computer game development.

Our studio and its capabilities

The ADM conference was delivered at the height of the second wave of the pandemic, in December 2020, adhering to the maximum sanitary restrictions. This was possible by equipping our studio with the right equipment, lighting, multimedia and a very fast fiber optic internet connection (1GB symmetrical). Our studio has two independent fiber optic cables from two different suppliers, which ensures full security of live transmission to the Internet. Our unique selling point is the possibility to bring a car into our studio without any additional ramps or lifts and then place it in the green screen, which allows us to present it attractively to the automotive market.

The studio is equipped with professional lighting, multimedia equipment such as LED screens or large-format monitors, streaming devices, 4K cameras and a 3D camera positioning system to create XR scenes. Thanks to the fact that the studio consists of several independent rooms with separate entrances, we can conduct any online event observing full sanitary regime. We provide our guests with maximum comfort by giving them an internal car park and a separate waiting room before recording.

What results can be achieved with a virtual set design

When our studio was chosen for the online broadcast of the AWD conference, we were faced with many challenges connected with the organization of the event, especially during the online broadcast. Most importantly, however, was the work to adapt the studio and create a virtual set for the e-event.

For this purpose, we prepared a special virtual studio, in which only a portion of the stage for the speakers was physically built (using a LED screen). The rest of the scenery appeared through augmented reality – XR. Conference participants could thus feel that everything was taking place on a real multimedia stage surrounded by screens and visualizations, just like at events held in hotels or other venues before. Moving the conference to the web, we took the same care to offer the participants a unique event – both in terms of content and visuals.

Virtual production allows us to reduce the need to build physical elements of the stage to the minimum and build them in the virtual world, which gives the possibility of more efficient use of labour input – we can return to the virtual elements if necessary, there is no need to build them physically, we eliminate the workload associated with logistics, transport, and assembly, and instead build our own scene in a digital 3D environment. We are more sustainable because we reduce CO2 emissions, reduce the production of waste, we can physically carry out a broadcast from a small studio and build the effect of a conference room in a virtual environment
